Transitioning to a new Learning Management System (LMS) is a strategic step toward enhanced training, user experience, and compliance. This overview highlights Knowledge Anywhere’s streamlined migration and onboarding process, available migration options, and tailored onboarding services. Can I get a multi-year discount?
Yes! We offer a discount for a 24-month and 36+-month term agreements.

What if I go over my tier plan?
If you are on the Express or Professional LMS tier plan, you will be subject to active user overage fees. If you are on an Enterprise LMS tier plan, you have unlimited active users, so you will not be subject to active user overage fees.
For every additional active user that logs in beyond the subscribed tier plan, an additional monthly fee of $2.50 will be applied.
For example: If your organization is subscribed to the Express tier plan with 500 active users allowed and if 510 users log in during the monthly period, an additional fee of 10 x $2.50 = $25 will be added to your next bill.
What is in the One-Time Onboarding Fee?
When you choose Knowledge Anywhere’s Learning Management System (LMS), you’re not just investing in a platform—you’re investing in a seamless and efficient onboarding experience. Each tier of our LMS requires a one-time set-up and onboarding fee. But what exactly does this fee cover? Let's break it down.
Basic Data Migration
Our team handles the heavy lifting of migrating your existing data into the LMS. This includes:
- Importing Historical Learner Records: All past training records, certifications, and progress tracking data will be migrated to ensure no loss of information.
- Existing Content Migration: Your current training materials, courses, and other educational content will be imported into your new LMS environment, ready for immediate use.
Depending on the LMS tier that you choose, we offer Basic or Advanced Migration. You can also choose to purchase LMS data migration services, if you'd like a full transfer of your historical Learner and Course data, without additional downtime or data loss. Moving your training doesn’t have to be a daunting task. With our comprehensive migration planning, we take a deep dive into understanding your unique requirements, current course structures, and user data. Our team ensures every aspect of your migration is strategically planned, leaving no stone unturned. By prioritizing the elements that matter most to you, we facilitate a smooth transition to your new Knowledge Anywhere LMS.

LMS Setup and Personalization
We’ll set up your LMS site to reflect your brand and ensure it’s tailored to your needs. This includes:
- Spinning Up the LMS Site: We will create and configure your LMS platform, ensuring it’s fully functional and ready for use.
- Initial Personalization: This involves incorporating your branding, including logos, color schemes, and any specific design elements. We’ll also set up default badges and certificates to match your organization’s style.
- Domain Registration: If applicable, we’ll assist with registering your domain and ensuring it’s correctly linked to your LMS.
Microsites and Extended Enterprise Setup
For those on higher tiers or with specific add-ons, we also offer:
Depending on your LMS tier or add-ons, we can create and configure microsites. These are sub-sites within your main LMS, which can be customized for different departments, franchises, or regions.
1:1 Training and Support
As part of the onboarding process, we provide personalized training to help you and your team get the most out of your new LMS:
Our experts will guide you through the LMS, offering tailored training sessions. The duration of these sessions varies depending on your LMS tier, ranging from 1 hour for Launch and Small Business tiers to 5 hours for the Enterprise tier.
One-Time Fee Breakdown by Tier
Here’s a quick look at the onboarding fee for each tier:
- Launch: $2,000
- Small Business: $2,500
- Express: $3,000
- Professional: $3,500
- Enterprise: $4,000
This one-time fee ensures that your LMS is set up quickly and effectively, so you can focus on what matters most—delivering high-quality training to your learners. You can see other pricing differences between the tiers here.

How many courses can I have on my LMS?
We do not place a limitation on courses for the Professional and Enterprise Tiers.
However, our Small Business and Express Tier have limited course uploads available.

What defines an "active user"?
An active user is any user that has registered or logged in to the LMS in the past month at least one time.
- If a user logs in to the system one time within one month, or logs in 100 times within that month, the user is still considered as one active user.
- When selecting a pricing plan, consider how many "active users" you estimate to have each month. If necessary, you can upgrade or downgrade your account to accommodate a significant change in monthly active user volume.
What if I need more administrators?
Each LMS tier comes with a set number of administrator roles. Administrators are measured by their "active" status in the LMS, regardless of login activity.
- Primary - A Global Admin has full access to all levels of the LMS, allowing them to manage users, content, learning activities, and system-wide reports. They are the only role that can directly manipulate site settings.
- Secondary - Limited admins have many of the same abilities as Global admins, except they cannot configure site structure or manage content. They are ideal for managing learners on a daily basis. Basic admins have a more restricted, primarily read-only role, allowing them to view learners, courses, and run reports, but with limited access to make changes.
- Group - A Group admin is similar to Limited admins, but only for the direct groups that they are assigned to (as decided by a Global admin). Group admins can view content, manage learners, view transcripts, and execute reports for learners directly assigned to their group.
Admin caps:
- Launch: 1 Primary Admin, 5 Group Admins, 2 Secondary Admins
- Small Business: 2 Primary Admins, 10 Group Admins, 4 Secondary Admins
- Express: 2 Primary Admins, 15 Group Admins, 5 Secondary Admins
- Professional: 5 Primary Admins, 50 Group Admins, 10 Secondary Admins
- Enterprise: Unlimited Primary, Group, and Secondary Admins
Admin Overages
If the number of admins exceeds the allowance for your tier, additional admins will be billed monthly at the following rates:
- Primary Admin: $30/admin/month
- Group Admin: $15/admin/month
- Secondary Admin: $10/admin/month
Admin Upgrades (Permanent or Contract Commitment)
Clients who commit to additional administrators for the remainder of their contract can take advantage of discounted rates:
- Primary Admin: $20/admin/month
- Group Admin: $8/admin/month
- Secondary Admin: $5/admin/month
Other Pricing Details
Depending on the tier of your subscription, certain features may be available, but what if you need more microsites, languages, or custom badges?
- Custom badges - 10 for a flat fee of $250 USD
- Microsites - $350 USD each per year
- Languages - $500 USD each per year
- Professional Services - We are available for custom projects and services relating to your LMS experience. These services usually cost $150 per hour, but can be different depending on other factors of the project.
